The Hidden Cost of Paper in a Modern Clinic
The price of paper isn't the paper. It's the minutes spent filing, the visits delayed by lost charts, and the decisions made without the full picture. Here's how to see the real number.

When clinics estimate the cost of running on paper, they usually picture the obvious line items: reams of paper, printer toner, folders, and the cabinets to store them in. Those costs are real, but they're the smallest part of the story.
The expensive part of paper is everything that happens around it.
The cost you can see
Let's start with the visible spend. A busy clinic prints far more than people expect — registration forms, lab requests, prescriptions, receipts, referral letters, and a copy of nearly everything "just in case." Add storage, replacement folders, and the occasional reprint of a lost document, and the monthly figure is rarely small.
The cost you can't see
Now the part that doesn't show up on any invoice:
- Staff time. Every chart pulled, refiled, and searched for is paid labour. Across a year, the hours add up to weeks.
- Delayed care. A misfiled chart can mean a patient waits, a clinician improvises, or a visit gets rescheduled.
- Duplicate work. Information that lives on paper gets re-entered, re-asked, and re-collected because it can't be looked up quickly.
- Lost history. Decisions made without a complete record are riskier and sometimes simply wrong.
The paper itself might cost a clinic a modest sum each month. The time and risk around that paper often costs several times more — it just never lands on a single bill, so nobody adds it up.
Putting a number on it
The exercise is simple. Estimate, for a typical month:
- How many pages your clinic prints.
- What a page costs, all-in (paper, ink, wear, storage).
- How many minutes staff spend handling and searching for documents.
- What that staff time is worth per hour.
Multiply it out and the total is usually a genuine surprise — almost always larger than the intuition.
What changes when paper goes away
Digital records don't just remove the printing bill. They remove the searching, the refiling, the duplicate data entry, and the quiet risk of an incomplete picture. The staff hours freed up go back into patient care, which is where they belonged all along.
